For example, you can have 4 bellmen and 3 doorpersons assigned to a group, where the bellmen and doormen are paid at different gratuity rates. Bus Director is a program that is used to input information about group arrivals and departures. It is used to track the employees that are assigned to handle the groups, and generate reports that show who is assigned to each group. Bus director also generates reports showing the payroll amounts that each employee is to be paid. Groups can be manually assigned to each employee, or the program can automatically assign groups for any time period. Groups are assigned on the basis of the employees year to date totals, with the lowest employees being assigned the groups. Gratuities for the groups can be split among any number of employees, and employees can be paid different rates. Bus Director also allows you to add or subtract amount5s from your employees payroll amounts, or their year to date totals.

The name of the install file is simply Bus Director.msi. Please fill out the Bus Director contact form for the download link. Simply double click the file to start the installation process. The install program will check the version of the .net Framework that is intalled on your computer. You need to have a minimum version of 4.6.1. If your version is less than this, the install program will download and install the correct version from the Microsoft website.
When you first install Bus director, you are limited to a 30 day free trial. This trial starts when you enter your first group arrival and departure. Enter the default User Name / Password at the log in screen, admin / admin.
After you log in you will see you Hotel name set to "Trial Version" and the serial number you will need to register Bus Director.
You may now use all of Bus Directors features for the 30 day free trial. At the end of this time you must purchase Bus Director and enter the registartion code. You should change the default user name and password as soon as possible. Please see the "Using Bus Director" section for information on how to continue setting up Bus Director.
After you have downloaded and purchased Bus Director, it is time to register so that you may continue using it after your 30 day free trial. Registration also allows you to change the default hotel name.
When you purchase Bus Director, you submit the serial number for the program. After your invoice is paid I will supply you with a license code to unlock the program.
Simply enter the license code I provide to you exactly as it is sent to you. The license code is case sensitive, it is best to simply cut and paste it in. Once the code is entered, simply click the register button.
The default user/password is admin/admin.
To view your employees click either "Show Currently Employeed" to view your current employees, or "Show all Employees" to view all employees past and present.

On the gratuities tab, we have a datagrid to the right that displays your gratuities with their description and rate. There are also text boxes and buttons on the left to enter, change, or delete gratuities. Any changes or deletions are automatically updated in the datagrid.
There is a datagrid to the right that is used to display and update the groups you have entered. There are two ways to input the information for your groups. You may use a text file or simply fill in the fields manually. The only restriction to entering groups is that you may not enter the same group code and arrival date more than once. If you need to add more employees at a different gratuity rate: select a saved group in the datagrid, select the number of employees in and out and gratuity rate, and click"Add Employees".

To input the number of guests for your groups, you may use the "Input Groups" tab or the "Number of Guests" tab. If you use the input groups tab, simply select the group and update the number of guests arriving and departing. If you use the number of guests tab, select the day of week you are working with. This will show you all groups arriving and departing on the selected date, sorted by the arrival date. Simply select a group in the datagrid and update the number of guests using the text boxes and buttons at the top. You may also enter the information directly in the datagrid.
The arrivals and departures report shows all arrivals and deprtures for a given date. To generate this report, select a date and click "Arrivals and Departures". Click "Next" or "Prev" to change the date for the report.
The adjustments report shows all adjustments that have been entered between two dates. The report shows the employees name and id, adjustment dates, the reasons for the adjustments, the amounts, and whether the adjustments were added to the totals, the payroll amount, or both. To view and print an adjustments report, select two dates from the date pickers next to arrivals and click "Adjustments".
The groups payroll report shows group arrivals and departures between two dates. This report categorizes the groups by employee. The report shown each employees name, id number, and their total payroll amounts. It contains the group codes, names, arrival or departure dates, number of guests, the gratuity rate, and payroll amount. Select the dates for the arrivals and departures and click "Groups Payroll".
The payroll totals report shows us each employees total payroll amounts. This report includes amounts each employee earned working groups and any adjustments that have "Add to Payroll" checked. Select the dates for group arrivals and departutes and click "Payroll Totals" to generate this report.
The groups amounts paid report shows us each group that has an arrival or departure date between two selected dates. The report has each groups summary with the total amount paid and the number of guests in and out. It also shows us the group code, group name, arrival or departure date, employees that worked the group and the amount they were paid. Select the arrival and departure date ranges and click "Groups Amounts Paid".
On the right hand side on the form, you will see the totals for your employees (either the year to date or the monthly totals). Select an arrival or departure date to view the arriving or departing groups for that date. The group code, group name, arrival time, departure time, pull time, gratuity rate and the employee assigned to the group are displayed. Any of these fields may be changed after an employee is assigned to the group. If you need to delete a group, simply select the group, then click on "Delete One". If you need to add another group, select the group and then click on "Add Another". As you assign groups to employees the number of assigned groups is automatically updated. By changing the date on top of the totals datagrid, you can see how many groups have been assigned to your employees.
To have the computer assign groups to your employees you need to have the employees schedules. The concept used to create schedules for employees is that there is have a master schedule for each employee, and that is used to generate each weekly schedule.
On the adjustment tab, we have a datagrid to the right that displays adjustments. To display adjustments for a specific time period select two dates using the date pickers at the top. There are also textboxes and buttons for adding, changing, and deleting adjustments. Adjustments can be added to the employees totals, their payroll amounts, or both. The reasoning behind this system is that when an employee is assigned to a group and they call out the amount they would of received is added to their totals. This way they are penalized for the call out and do not make up the money. Amounts can also be added or subtracted from the payroll report.
