This system was developed to maximize the available space for storage, and to speed up the storage and retrieval times. The program was developed so that we can quickly find the storage locations, and to allow us to enter comments about the luggage. It also allows us to quickly relocte luggage, and to have the date and time luggage is store and retrieved.

The Ticket Board System

The Problem: The way we used to do things!

The way we used to store and retreive luggage is probably the same way you do it now. When a bell person or door person checkes luggage, the luggage is ticketed, and the luggage is stored in a baggage room. The baggage room is usually organized by having sections numbered from 0 to 9. The luggage is stored in the section corresponding to the last number on the claim check. When a guest retreives their luggage, the bell person has to check the whole section corresponding to the last number on the claim check. Not very efficient! It is also a problem when a section is filled up, and you have to store bags in that section. Another problem is that bell persons tend to take out all of the tickets that correspond to locations closest to the front of the baggage room.

The Solution: A new way to store and retrieve Luggage!

I decided that the best way to store luggage is a system similar to the one used to valet park cars. Cars can be parked in any location in the garage. The location where the car is parked is noted when it is parked. To retrieve the car, the driver simply goes to the location where the car is parked. I use the same system to store luggage. Each bin for the storage of luggage is now numbered. When luggage is stored we simply record the bin number on our part of the claim check. This way we can store luggage in the closest location. To retrieve the luggage, you just go to the the numbered bin to find the luggage. Much faster and efficient!

The Ticket Board Story

This system was developed as part of a Kaizen event. These events are a way to analayze the work flow in a department. We discovered that it was actually taking quite a long time to store and retreive luggage. We found it to be inefficient to have our bellstaff search for a place to store luggage when the baggage room was getting full. It was an even bigger problem to look for luggage when the bell person has to look thru a whole section full of luggage. We looked at several alternative ways to get a handle on the storage and retreival of luggage. The Ticket Board system was modeled on the way valet parkers park cars. We found that by having the luggage stored in a numbered location, we cound fill up our baggage room from the front sections to the back sections. Now, our bell staff can simply go to the numbered location when retreiving the luggage.

A great way to store luggage! Now even better with a program to manage the claim check numbers and the storage locations.

The Ticket Board System is a great system, but there were still had a few problems that I decided to fix. One problem was that there was simply no way to add any notes or comments about the luggage. There was no way to describe the luggage cheked on our claim checks. Another problem occured when a guest lost their ticket, and there was no way to check for luggage checked at the time the guest checked the bags. There was no way to know when luggage was checked with us by a guest. Sometimes we have guests store luggage for an extended period of time, and we move these bags to the back part of the room, and change the storage location on the claim check. The location change was not being recorded on the claim checks, and we had no way to know when the bags had been relocated.

How to Download and Install Ticket Board

Before you can use Ticket Board, you will need to fill in the form below so that your Ticket Board database can be set up. I will contact you very shortly thereafter with the database credentials that you need to get started with Ticket Board. I will also provide you with the link to download the Ticket Board installation file.

The download file is named Ticket Board.msi. The install program will check the version of the .net Framework that is intalled on your computer. If your computer does not have the minimum requiered version, it will be downloaded and installed automatically from Microsofts website. You have a 30 day free trial during which you may use all of Ticket Boards features. After this time you will no longer have access to Ticket Board until you purchase the program.

Purchase Ticket Board: 3 Year Subscription Fee of $1,449.00, monthly charge of $55 for database access.

After you install the Ticket Board program, you have a 30 day free trial. You will no longer have access to the program after the 30 day trial. To continue using the program, fill out this contact form and you will be emailed the purchase invoice. Once I receive this form, the program will be activated for another 30 days. If the invoice is not paid within this 30 day period, the program will be deactivated until it is paid. There is also a monthly charge of $55.00 to maintain the database used by the Ticket Board program.

How to test and save your database credentials.

When you first start Ticket Board, you will not be able to connect to your database. You will need to enter the correct database credentials to allow access. Click on the "Database" tab. This will bring up the Database Window as shown below. Please enter the Database Server, the Database Name, the Database User Name, and the Database Password exactly as they have been provided to you.
Click on the "Test Database Connection" button. If you have entered the credientials correctly, the "Update Database Connection" will now be available. Simply click on the "Update Database Connection" button to save your database credentials! If you receive any error message, please try to reenter your database credentials. If you receive an error that states that there is a "Named Pipes Provider: error 40", we will need to have your IT department open a connection to the Azure SQL server.

Your database access has now been created and saved!

How to Set up Users and Passwords

To add new users and passwords, you need to log in to the passwords tab. The default User Name and Password is admin / admin. After logging in, all users and passwords are displayed. To add a new user, simply click "Add New User". To update or delete a user select in in the datagrid. Ticket Board shares the same database as Bell Log. Because of this the only User Permission Level available is level 1, full access.

How to enter tickets into the Ticket Board Database.

Entering ticket into the ticket board database is quite easy! You may scan in the ticket or you may enter it manually. To scan the ticket, make sure that the ticket number text box is highlighed, and just scan in the ticket. Enter the location, and any comments, and tab to or click on "Save Ticket'. The ticket information is now saved into the database, and the datagrid is updated to show you the new ticket!

How to update tickets in the Ticket Board Database.

To update a ticket, such as changing the location, or adding comments, simply select the ticket in the datagrid. You may use the find ticket functionality to filter the tickets displayed in the datagrid. Now make any changes using the Ticket Number, Location, or Comments text boxes. Click "Update Ticket" to save the changes.

How to locate current tickets.

To locate a ticket that has been entered into the ticket board database, scan or enter the ticket number into the Find/Claim ticket text box. Now simply click on the "Find Ticket" button. This will filter out the datagrid to show you only the ticket number that you have entered. Only tickets that have not been claimed are shown. To claim the ticket, simply click on the "Claim ticket" button. This will automatically enter the date and time the ticket was claimed. The Last Ticked Picked up and the Last Location Picked Up will also be updated. If you wish to print out the tickets, place a check mark in the "Print Tickets" check box. This will print out the tickets using the selected printer.

How to locate claimed tickets.

To locate tickets that have already been claimed, select the date range for the ticket you wish to display, and click on the "Claimed Tickets" Button. To further filter the tickets, you may enter the ticket number into the Find/Claim Ticket text box and click on "Find Tickets". This will filter the datagrid to only show the ticket number that you entered for the date range selected.

How to print tickets.

If you select a printer from the drop down printer selection box, and check "Print Tickets", Tickets will be automatically printed when you claim a ticket.

How to generate reports for the Ticket Boart System

To generate reports for the Ticket Board program simple click opn the reports tab. You will see the window below. To generate reports, simply select the date range, and select the report type. Then click on "View Report".

The tickets checked per hour report shows you how many tickets have been checked each hour by day for the selected time period.
